This month brings a new HR integration, a smarter desk suggestion workflow, and improved room management for approval-based bookings, plus a small but useful addition for Azure AD users.

Major improvements

HiBob integration

Yoffix now integrates with HiBob. Once your admin connects the integration under Company Settings > Integrations > User Sync > HiBob, employee profiles and absence statuses sync automatically. New hires added in HiBob are provisioned in Yoffix without manual import, and absences including vacation, sick leave, and other time-off types are reflected in real time. This keeps desk availability accurate and hybrid attendance data in sync with your HR records.

Smarter desk suggestions

The desk suggestion logic has been significantly improved. When you open a day to book, Yoffix now works through a prioritized list to find the most relevant available desk for you:

  1. Favorite desk — suggested first if available

  2. Personally assigned desk — checked next if you have one

  3. Team or department desks — considered if your team has dedicated areas

  4. Recently used desks — the system looks at desks you have booked before and suggests the same or nearby options

  5. Any available office desk — a fallback if nothing above is free

A suggestion is only made if the desk is free, you are permitted to use it, and it matches your office and team rules. If nothing suitable is found, no suggestion is created. Suggestions update automatically when a booking changes, a desk is modified, or your preferences or team assignment change.

Meeting Room Setup Management

A new Setup section is now available in the Office Editor when configuring meeting rooms. Admins can define available seating arrangements per room, for example boardroom, theater, or classroom.

When an employee books a room and selects a seating arrangement during the booking flow, their preference is included in the approval notification sent to the room owner. This is particularly useful for rooms that require physical arrangement before a meeting and are managed through the room approval workflow.

Minor updates

Azure AD profile image sync (SCIM)

Yoffix now syncs profile images from Azure AD as part of the UserSync SCIM integration. Once connected, profile pictures are imported automatically alongside other employee data, so no manual upload is needed.
