How billing works: licenses, plans, and payment methods

This article explains how Yoffix handles billing and licenses, including how user‑based licensing works, where the Owner manages billing information, and how monthly card and annual invoice billing differ. It also covers payment options, modular pricing, and who to contact for plan changes, upgrades, or contract adjustments.

Billing and licenses

How licenses work

You are billed only for registered users — employees who have accepted their invitation and created a Yoffix account. Users who have been added to the system but have not yet registered do not count toward your license total.

When you sign a contract, the agreed number of licenses sets your baseline. If your headcount changes during the billing period:

  • If you are on monthly card billing: your invoice adjusts automatically each month to reflect the current number of registered users.

  • If you are on annual invoice billing: the difference is calculated at the end of the billing period and applied to your next invoice.

Where to manage billing

Go to Company settings → Billing to:

  • View your current plan and number of active licenses

  • See your billing history and download invoices

  • Update payment details (card billing)

  • Review which modules are active on your account

You can only access the Billing tab if you are the account Owner. 

For contract-based billing, changes to your plan or license count are handled by your Yoffix account manager. Contact sales@yoffix.com for any adjustments.

Payment options

Yoffix uses modular pricing — you purchase the modules your team needs and can add more as your requirements grow. The core modules are desk booking, room booking, parking space booking, resource booking, and visitor management.

Pricing scales with your organization size: the per-user cost decreases as headcount grows. For current pricing, see yoffix.com/pricing.

Monthly billing by card

  1. Go to Company settings → Billing.

  2. Select Monthly billing and enter your card details.

  3. Your plan activates immediately.

Monthly billing is billed automatically each month and adjusts in real time as users register or are removed. It is best suited for organizations that are scaling quickly or want to start without a long-term commitment.

Annual or multi-year billing by invoice

  1. Contact sales@yoffix.com with your company details (billing address, VAT ID), the modules you need, your estimated user count, and your preferred contract length.

  2. You will receive a custom quote and invoice.

  3. Pay via bank transfer. Your modules are activated once payment is confirmed.

Annual and multi-year contracts offer lower per-user rates than monthly billing. Multi-year contracts receive additional discounts. This option is best for larger organizations with established headcounts and annual budget planning cycles.
